Checklist:

Make sure you are ready to attend and exhibit at the Conference by completing the below check-list:

Completed and submitted exhibitor requirements form?

Fascia signage form completed and returned?

Exhibition booth furniture hired from Pyramid Displays (if required)?

All exhibition electrical items have been tested and tagged?

Flights and transfers arranged to and from Gold Coast?

  • A reminder that flights and transfers are not included as part of your sponsorship package and must be arranged at your own expense. 

Exhibition Area

The exhibition area and catering will be held in the Garden Terrance foyer of the Conference Level at the at the Surfers Paradise Marriott Resort & Spa. 

Exhibition Area Operating Hours

Tuesday 22 October 2017: 7.30am - 4.30pm

Wednesday 23 October 2017: 8.30am - 4.00pm

Booth Allocation & Floor Plan

You will receive your booth allocation via email from alice@icebergevents.com.au.

Catering will be located in both the Garden Terrace Foyer and the Garden Terrace, with posters being displayed on the panel boards located on the right of the plan below.

Bump-In

Exhibitors will have access to their trade booths from 6.30pm – 8.30pm on Monday, 21 October 2019 and again from 6.00am on Tuesday 22 October. All booths must be completed by 7.00am on Tuesday 22 October in order for the area to be prepared for the arrival of delegates registering for the Conference. 

The Grand Ballroom on level two is fitted with an external hoist which connects to the hotels loading dock. The hoist is often used for exhibitions as it is ideal for oversized objects such as large booths, heavy equipment, cars, etc that do not fit in the service lifts. A hoist will be available until 7pm, but must be requested in advance. If you need to usilise the hoist, please contact Alice Sonter on +61 7 3876 4988 or alice@icebergevents.com.au to arrange access. 

Please note that you are required to wear safety vests during bump-in and bump-out.

Bump-Out

The trade area will be open to delegates from registration on Tuesday, 22 October 2019 until the conclusion of the conference on Wednesday, 23 October 2019. Exhibitors will be able to pack-down their exhibition booth from the end of sessions at 3.30pm on Wednesday, 23 October 2019. All booths must be vacated by 4.30pm. A hoist will be available until 7pm, but must be requested in advance.

Please note that you are required to wear safety vests during bump-in and bump-out.

Security

Please note that the exhibition area will not be locked during the day and leaving your equipment will be at your own risk. 

Exhibition Supplier

Pyramid Displays will provide you with one (1) 3m pod (with 2m back wall) with lights, fascia (black lettering on white corflute) and power.

Pyramid Displays has been appointed as the official supplier for the exhibition and will be in touch with their exhibitor kit in early September to meet all of your booth and equipment requirements.

Delivery Information – Pre-Conference

All goods being delivered to the conference venue (Surfers Paradise Marriott Resort & Spa) must have an incoming delivery docket attached. This delivery docket must be filled in and attached to all items being delivered to the Surfers Paradise Marriott Resort & Spa. Items without this delivery docket will not be accepted.

Please notify alice@icebergevents.com.au if you will be delivering any items to the venue so they can be tracked.

The Surfers Paradise Marriott Resort & Spa will only start accepting delivery of goods for the conference from Thursday 17 October 2019. Note: The Surfers Paradise Marriott Resort & Spa delivery dock is open from 7.00am – 3.00pm on weekdays and 7.00am – 1.00pm on Saturdays.

Collection Information – Post-Conference

Please arrange for a courier to collect your items from the loading dock by no later than COB Friday, 25 October 2019 (goods will be available for collection from 7.00am on Thursday 24 October 2019). All items to be collected should be left in your booth with your organisation’s delivery docket as well as a signed consignment note for your courier company attached to each item (the venue will not sign consignment notes on your behalf, therefore these must be completed prior to your departure from the venue). The venue will then take your goods to the loading dock to be picked up. Note: The Surfers Paradise Marriott Resort & Spa delivery dock is open from 7.00am – 3.00pm on weekdays.

Venue Requirements

If you require internet or any of the other services from the Surfers Paradise Marriott Resort & Spa. Cable internet is available at $19.95 per user per day (free wireless internet is available in the public areas but is for simple web browsing and emails).

Registration

As part of your package, you are entitled to two (2) complimentary registrations. If you have not already done so, please register your attendees via the online registration form here.

Industry Engagement Session

As part of your entitlements, you have the opportunity to provide a 3 minute speech in the plenary session of the program. If you have not already done so, advise the full name and position of this representative to Alice Sonter on +61 7 3876 4988 or alice@icebergevents.com.au.
